Calendar and Scheduling Productivity

If you’re anything like me, you love a good list.

But even more than that, I love a good app. 

Technology has afforded us so many opportunities to become the most productive and organized versions of ourselves, and as members of the digital agency community, it’s our responsibility to take advantage of this! After all, anything we can use to help us create a project that’s organized, within budget, and delivered on time is our cup of tea.

We open the digital world up to our clients and make it both manageable and accessible for them. And yet, the sky’s the limit when it comes to the ways we can also make it more manageable and accessible for ourselves. 

That’s why I am always open to exploring new productivity and scheduling apps and insistent upon using them with my own projects.

But why are project management and calendar apps so important?

  • Your memory isn’t as good as you think it is.

Did you write down the time for your client walkthrough on one of the 45 notebooks on your desk? Yeah, good luck finding that to confirm it. An app is also great for keeping you updated through each of your devices, no matter where you’re working.

  • Your reputation depends on consistent client communication.

Scheduling and calendar apps can help you not only set up regular check-ins with your clients, but it can also remind you to drop a line updating them on the project, which is especially helpful if you’re less inclined to be chatty.

  • It’s an extra resource for referencing and resolving issues. 

Is a client disputing you on a deadline that you’ve mutually agreed upon? Easy—pull up your calendar app and simply show them where you previously agreed to the date. If need be, you can visually demonstrate any changes in schedule as well. 

  • You can help yourself stay on schedule.

Regular progress reminders and updates can help keep you accountable to deadlines as often as you need it. And even better, unlike those in your accountability group, a scheduling app has zero concerns about hurting your feelings.

Not all apps are created equal, though. There are more options appearing everyday, some of which are more effective than others. And to the opposite side of the spectrum, if you actually enjoy organizing your work and deadlines, it’s easy to fall into the bad habit of app-hoarding.

When looking considering a new product for your productivity, make sure to consider the following major factors:

  • Price
  • Efficiency
  • Functionality 

Still unsure if a certain app is one app too many? Ask yourself these questions.

Questions to Ask When Considering a New Project Management App

  1. Does this app fit into my agency’s budget?
  2. Is this app appropriate for the number of people in my agency or project?
  3. Do I already use an app that has the same features as this one, either for free or in its “Premium” version? 
  4. If “Yes,” to Question 2, how does the “Premium” version of the app I already have compare pricewise to this new one?
